FAQ
With a Basic subscription plan you’ll be able to track and report unlimited trips. You’re currently on a free Lite plan, which means you can only create reports for up to 15 trips per month.
You can also add the Driversnote iBeacon device to your subscription. If you’d like the app to track your trips automatically and with better accuracy, we definitely recommend it.
Yes! You can cancel anytime before the next renewal period.
An iBeacon is a small, battery-powered device that connects to the app on your phone when they’re in close proximity. It stays in your vehicle and helps the Driversnote app track your trips automatically. It doesn’t do the tracking by itself.
There’s no vehicle installation required. Once you connect the app and the iBeacon, they talk to each other and you don’t need to think about manually starting and stopping the trips.
We recommend getting one iBeacon per vehicle.
The iBeacon comes completely free with the annual Driversnote subscription or can be bought alongside the monthly subscription for an additional fee. Shipping is free anywhere in the world and takes around 4-7 business days.
We recommend buying one iBeacon per vehicle. You can change the number of iBeacons you want in the product selector above.
The iBeacon stays in your vehicle, so the app only tracks the trips you take in it (just don’t forget your phone!). As a bonus, this reduces your phone’s battery usage.
Motion tracking available in most phones is different. The app will activate whenever you’re moving fast – that can include carpooling, using public transportation, and even fast scooters or bikes. It’s because it doesn’t know whether you’re driving your car for work, or carpooling with friends.
We accept all major payment cards and support transactions in a range of currencies. If your preferred payment method or currency isn’t available, please reach out to us.
One subscription covers one driver (no matter the amount of vehicles). Are you part of a company with multiple drivers? We developed Driversnote for Teams for that specific purpose. If you’re looking for a simple workflow of reporting business mileage for your company’s reimbursement process, creating a team in Driversnote is the way to go.
If your employees drive more than 15 trips a month, you can purchase one Driversnote monthly or annual Basic license per employee, so that they can create and submit full mileage reports. Your team can then also get iBeacons for automatic tracking of mileage – no more missed trips!
Once you purchase multiple licenses, you can invite team members to your Driversnote team via their email addresses. You can always start with one license to test the full functionality of Driversnote, and purchase additional licenses later on.
We take the privacy of people who use our app seriously. Driversnote doesn’t record any location information unless you’re driving. We don’t share or sell any of your personal information with anyone. All data, including your trip data, belongs to you.
We accept all major payment cards (VISA, Mastercard, American Express, Diners Club, Discover). If your credit card isn’t working, please try another one or contact us. We’ll do our best to help you.
Currently, we can’t accept payment methods such as PayPal or iDeal (the Netherlands). We’re working on including more payment methods in the future.
Yes. Driversnote allows you to create easily customisable PDF and Excel reports with flexible reporting periods, making it easy for your accountant or admin to get the information required. We’ve also partnered with Wave in Canada and the U.S., and Dinero in Denmark for an even more seamless integration of accounting software.
Definitely! You can invite all your employees to your team and significantly reduce the administrative workload. The Teams features include custom rates, flexible mileage reporting periods, and an overview of all your employees’ mileage for easy reviewing and approving. The handy automatic reminders will help everyone stay on track with sending reports, hassle-free.
Yes! Whether it's a seasonal project or client IDs, you can set up custom tags for everyone on your team. They appear on the reports, so it’s easy to spot which project your team’s business trips have been allocated to.
Yes. Unless purposefully shared through a submitted report, all business and private trips can be viewed by the employee only. By setting up a tracking schedule in the app (9-5 on weekdays, for example), you’ll avoid any tracking outside of the schedule, such as private weekend trips or after-hours drives.
The actual time and salary savings depend on your organisation and the existing process flow. Taking some of our clients as an example, Driversnote has helped them shave off up to 25 minutes per week on tracking, logging, and categorising trips, and 25 minutes on reviewing and sharing reports.
Mileage inflation, fraud, or over-reimbursement is a common challenge. Driversnote is an automatic tracker, designed to reduce room for error and likelihood of falsely reported mileage. Tracking is precise, with routes visible on a map. Additionally, you can set up the app to flag any manually added trips, so you’ll know which logs require extra attention from the admin.
