How to calculate mileage reimbursement manually
If you want to calculate mileage reimbursement or tax write-off manually, here’s an easy example.
Let’s say you drive your car for both business and private purposes. You keep a mileage log so that you can see exactly how many miles you have driven for business. Your records show that you drove 7000 miles for business from January 2026 until the end of May.
To calculate your total reimbursement, multiply your miles by the appropriate IRS mileage rate for 2026 (note that effective July 1, the rate got a boost up to 76 cents per mile as a result of increasing fuel costs in the U.S.)
Your calculation of mileage for taxes would look like this:
7000 x 0.725 = $5,075 (business reimbursement)
To get that reimbursement, always ensure you have logged everything in your mileage log and can provide proof if necessary.
